The Month View
The Calendar tab shows a full month of your church's services in one grid. Every service appears on its date, so a worship leader can see the whole month's plan without opening anything.
- Today is marked with a teal circle around the day number.
- On desktop, each service shows as a small pill with its name and a colored status dot.
- On mobile, day cells are narrow, so each service shows as a compact colored time chip (for example,
10a or 7p). The chip color tells you the staffing status, and the time tells you which service it is. Tap the day to see full names.
- Days with more than three services show a small "more" note. Tap the day to see everything.
The Color Legend
Every service on the calendar is color-coded by how staffed it is, using the legend shown at the top of the calendar (or below the grid on phones):
- Green (Staffed): every role for the service has someone assigned. You are ready for Sunday.
- Amber (Partial): some roles are filled, but at least one still needs a person.
- Red (Empty): the service has roles defined, but nobody is assigned yet.
Two more colors help in specific cases:
- Gray: the service has no roles defined yet, so there is nothing to staff.
- Teal: you are personally assigned to this service. Your own services always stand out so you can spot your Sundays in one glance.
Tip: Make a habit of scanning for amber and red early in the week. Those are the services that still need volunteers, and a Tuesday message beats a Saturday scramble.
How Staffing Status Is Computed
The colors come directly from your role requirements and assignments:
- Each service has a set of roles it needs, such as vocals, sound, or slides. Roles come from the teams you set up (see Setting Up Teams).
- PraisePro compares the number of filled assignments against the number of roles the service needs.
- All roles filled shows green. Some filled shows amber. None filled shows red. No roles defined shows gray.
The status updates as soon as assignments change, so the calendar always reflects the real state of your teams.
Tapping a Day
Tap or click any day on the calendar:
- If the day has one service, it opens straight to that service's details.
- If the day has several services, a list appears with each service's name, time, and staffing dot. Pick the one you want.
- If the day has no services, PraisePro simply tells you so.
On desktop you can also click a service pill directly to jump to that service.
Creating a Service from the Calendar
You do not have to leave the calendar to plan a new gathering. Admins and editors see an Add button at the top right of the calendar:
- Click Add.
- Fill in the service details, such as the name and date.
- Save. The new service appears on its date immediately.
From there you can open it to add schedule items and assign your team, just like any other service (see Getting Started for a walkthrough).
Moving Between Months
- Use the arrows on either side of the month name to move back and forward one month at a time. Planning Easter in January? Just click ahead.
- Click Today to jump back to the current month instantly, no matter how far you have wandered.
Tip: Past services stay on the calendar in a muted style, so you can look back at what you planned last month without it competing with what is coming up.
Subscribing from Other Calendar Apps
On the Team plan, PraisePro offers an iCal subscription URL so your service schedule can appear inside Google Calendar, Apple Calendar, Outlook, or any other calendar app that supports subscriptions.
- In the app, open Integrations (available to the account owner on the Team plan).
- Generate an API key.
- Copy the iCal Subscription URL shown below your keys and add it to your calendar app as a subscribed calendar.
Your services then show up alongside everything else in your personal calendar and stay in sync as your schedule changes. See Plans and Billing for what each plan includes.
