Organize your people into teams and roles so the right person is always in the right place.

Creating Teams

Teams let you group people by function. Most churches start with two or three teams, but you can create as many as you need.

Common examples:

To create a team:

  1. Go to Teams in the sidebar.
  2. Click New Team.
  3. Enter a team name (e.g., "Worship Team").
  4. Click Create.

Adding Roles Within Teams

Each team can have multiple roles. Roles describe what a person does within that team.

For a Worship Team, you might add roles like:

To add a role:

  1. Open the team you want to edit.
  2. Click Add Role.
  3. Enter the role name.
  4. Click Save.

Tip: Keep role names short and clear. "Sound" is better than "Sound Engineer / Audio Technician" -- your team will thank you on small screens.

Assigning Members to Roles

Once you have teams and roles, you can assign members. A single person can hold roles on multiple teams (for example, someone who sings and also runs the live stream).

  1. Open the team.
  2. Find the role you want to fill.
  3. Click Assign Member.
  4. Select the person from your organization's member list.
  5. Click Save.

Assigned members will see their role assignments when they log in and can view which services they are scheduled for.

Service Role Requirements

When you create or edit a service, you can specify which roles are needed for that service. This helps you make sure no position is left unfilled.

  1. Open a service.
  2. Go to the Team or Roles tab.
  3. Select the roles that are required for this service.
  4. Assign specific people to each required role.

If a required role has not been assigned, PraisePro will show a warning so you can fill it before Sunday.

Tip: Set up role requirements on your first service, then duplicate that service for future weeks. The role structure carries over, saving you time every week.
