The Basics

PraisePro organizes everything around one idea: a service. A service has a program (the order of what happens), a team (who is serving and in what role), and audio (the tracks your musicians and operators need). Everything else in the app - teams, calendar, notifications - exists to make those three things effortless.

Your church lives at its own address: my.praisepro.app/your-church. Every member signs in there with their own username and password, and what they can see and do depends on their role.

Services & the Program

Creating a service

  1. Open Services in the sidebar and click New Service.
  2. Give it a name ("Sunday Morning Worship"), a date and time, and optionally a campus.
  3. Click Create. The service opens with an empty program.

Building the program

The Program tab is the running order of your service. Use the quick-add bar at the bottom: type an item ("Opening Prayer", "Song - Amazing Grace") and press Enter. Then:

Running and finishing

The Start button in the service header sets the service live (your operator screen follows along), and Complete closes it out. You can reopen a completed service at any time.

Print & duplicate

The print button produces a clean run sheet for the sound booth or the pulpit. Duplicate copies a whole service - program included - which is the fastest way to plan next week: duplicate, change the date, adjust a few songs.

Lead Roles

Some volunteers should run a service without being able to edit everything in your church. That is what lead roles are for.

  1. In Teams, expand a team and find its roles.
  2. Click the crown next to a role (for example, "Worship Leader") to mark it as a lead role.
  3. Schedule someone into that role on a service.

That person can now edit that service's program - add, rename, reorder, complete, and delete items - even if their account is a viewer. They still cannot touch service settings, other services, teams, or files. The moment they are unassigned, the access goes with it.

Why it matters: your worship leader can rearrange Sunday's set list on Saturday night without you making them an editor for the whole church.

Teams, Roles & Members

A team is a group of people who serve together - Worship, Sound & Media, Hospitality. Each team has roles (Vocals, Bass, Projection...) and members (the people who can fill them).

If your church has multiple campuses, teams can be scoped to one campus or shared across all of them.

Scheduling People

Open a service and switch to the Team tab.

  1. First, check the roles you need for this service - each checked role becomes a slot to fill.
  2. Then assign people: pick a member for each slot. One person per role slot keeps responsibility clear.
  3. Assigned members get an email notification (if they have an email on file) in their own language.

The calendar shows staffing at a glance - hover an event on desktop to see how many slots are filled and how many are still open.

Users, Invites & Permissions

Everyone in your church gets their own account. There are four permission levels:

OwnerEverything admins can, plus billing and account deletion. Every church has exactly one owner.

Inviting people

  1. Go to Manage → Users and click Invite.
  2. Choose the role the invite grants, and optionally limit its uses or expiry.
  3. Share the link (it looks like my.praisepro.app/invite/CODE) by text or email. The person picks their own username and password and lands directly in your church.

You can also create accounts by hand (with a temporary password the person must change), deactivate members who step away, and reactivate them when they return - history intact.

Calendar

The Calendar tab lays every service out by month. Each event pill is colored by status, and on desktop, hovering an event shows a quick view: service name, time, and staffing (3 of 5 roles filled, 2 open).

Under calendar settings you'll find an iCal feed URL - paste it into Google Calendar, Apple Calendar, or Outlook and your church schedule stays in sync in the calendar you already use.

Music & Audio

Audio on schedule items

Any program item can carry an audio file - a backing track, a click, a sermon bumper. Open a service's Audio tab to upload and play them. Storage is tracked per church, and your plan sets the ceiling.

Public song submissions

Your church gets a public music page (protected by a 4-digit PIN you control) where members can submit songs they'd like to perform - no account needed. Submissions land in your Requests queue for approval.

ProPresenter & OBS

PraisePro publishes an RSS feed of your live service that ProPresenter and OBS can read - the current item's title follows along as your operator checks items off. See the ProPresenter & OBS guide for the setup.

Live Service (Operator View)

The operator view (the screen icon in a service header) is a full-screen, distraction-free display built for the sound booth:

Open it on the booth computer, a spare tablet on the piano, and the pastor's phone - they all follow along live.

Press / (or use Search in the menu on mobile) and type. Search covers services, program items, people, teams, requests, and audio files - and results respect roles, so volunteers only see what they can open. Selecting a result jumps straight to it.

Languages

PraisePro speaks English, Русский, Українська, and Español - the whole app, including the emails it sends.

Mobile & the App Icon

PraisePro is built phone-first - most volunteers only ever check their assignments from a phone. For the full app feel, add it to your home screen: open your church's address in the phone browser, then "Add to Home Screen" (Safari share menu on iPhone, browser menu on Android). You get an app icon, full-screen launch, and faster loads.

Notifications & Email

PraisePro emails people when it matters and stays quiet otherwise:

Every member controls their own notification preferences in My Account, and every email arrives in that member's language. Members without an email address on file simply don't get notifications - admins see a small warning next to those members in the Users list.

Feature Ideas & Support

The Features board (editors and up) is where your team suggests improvements and votes on others' ideas - we read it. Admins on paid plans also get the Support tab with direct tickets; urgent phone callbacks are available when Sunday can't wait.

Billing & Your Trial

Every new church starts with a free trial - no credit card required. When you're ready, the owner picks a plan under Billing:
