Configuring SMTP in Settings

For PraisePro to send emails on behalf of your church, you need to provide your SMTP (Simple Mail Transfer Protocol) credentials. This tells PraisePro which email server to use when sending messages.

  1. Go to Settings in the sidebar.
  2. Find the Email / SMTP section.
  3. Fill in the following fields:

SMTP Host Your email provider's SMTP server address smtp.gmail.com
SMTP Port The port number (usually 587 for TLS or 465 for SSL) 587
Username Your email address or SMTP username church@yourdomain.com
Password Your email password or app-specific password (your password)
From Name The name that appears in the "From" line of sent emails Grace Community Church
From Email The email address that appears as the sender noreply@yourdomain.com
  1. Click Save.
  2. Use the Send Test Email button to verify your settings work.

Tip: If you use Gmail, you will need to create an App Password instead of using your regular Google password. Go to your Google Account settings, then Security, then App Passwords. This is a Google requirement for third-party apps.

Which Emails Are Sent Automatically

Once SMTP is configured, PraisePro sends emails automatically for key events:

All emails are sent from the "From Name" and "From Email" you configured above, so recipients see your church's name in their inbox.

Customizing Email Templates

PraisePro uses clean, simple email templates that work across all major email clients (Gmail, Outlook, Apple Mail, etc.).

Currently, the email templates use your organization name and branding color automatically. The content of each email type is standardized to ensure deliverability and clarity.

If you need to customize the wording of a specific email type, contact us at support@praisepro.app and we will work with you on it.

Notification Preferences

Each team member can control which notifications they receive. To update notification preferences:

  1. Click your profile icon in the top-right corner of the app.
  2. Go to Notification Preferences (or Settings).
  3. Toggle the notification types you want to receive:
    • Service reminders -- get notified before an upcoming service you are assigned to
    • Schedule changes -- get notified when a service you are part of is updated
    • New submissions (admins only) -- get notified when someone submits music
  4. Click Save.

Tip: Encourage your team to keep service reminders turned on. A quick email the day before helps make sure nobody forgets they are scheduled to serve.
